The checklist
The vacancy-ready sheet, line by line.
Every unit gets the same pages. A line is ticked when it is done, and the crew lead signs the page. Anything that cannot be ticked is written on the note instead.

Sign-off
Signed page by page.
A sheet that nobody signs is a list. The crew lead signs each page when the room is done, and the quality lead checks the photo set against it before it leaves the office. If a line was missed, the policy page says how we return for it.
One sheet per unit, kept in its folder
Anything not ticked is explained on the note
Damage and dirt are listed apart

Not on the sheet
What the sheet leaves out.
Some jobs are not cleaning, and a sheet that claimed them would be wrong.
Repairs and paint
Holes, scuffs that need paint, a door off its track. They go on the note.
Mold, biohazard, hoarding
These need a specialist and we do not take them on.
Carpet extraction
We vacuum. A carpet company extracts; the note says when a carpet needs one.
Smoke detectors
We note whether one is present and chirping. We do not test or replace them.
Ready when the unit is empty
Send the vacating list.
Tell us the units, the move-out dates and where the keys are. We reply with a written slot for each, in the order the units empty.
